Position: Facility & Event Management Intern

Reports to: Trygve Chinander, Director of Operations / Ava Janssen, Director of Events & Marketing

Compensation: Summer Stipend

Start Date: No later than May 20th. Ideal start date 5/12/19.

End Date: 8/31/2019

Breese Stevens Field and Forward Madison FC are seeking a full time Facility and Event Management Intern. This Intern will oversee all aspects of an event from set-up to take-down, in addition to being involved in various special events and taking an active role in event planning. Applicants will serve under the close supervision of the Director of Operations and assist in part-time staff management as well as the transition from event to event.

Responsibilities Include:
– Assist in getting the facility prepared for event season

– Assist scheduling, management and training of part-time employees

– Work in a chain of command and work closely under the direct management of Director of Operations and Director of Events and Marketing

– Assist in product receiving, e.g. ensuring all products are distributed and stored properly

– Assist with flooring installation for concerts/special events

– Assist with event setup and clean up for all soccer matches and non-soccer events: including- setting up goals and benches, VIP Set up and tear down, help with installation of advertising boards, etc

– Assist in getting stadium open and closed for events and transitioning from one event to another

– Monitor lines and problem-solve related issues as they arise

– Track all business receipts, file into google receipt tracker

– Set up, oversee, and close smaller scale events/camps/leagues independently

– Take an active role in planning and executing events at Breese Stevens Field under direct management of the Director of Events and Marketing

Required Skills:
– Creative mind set with the ability to think quickly

– Willingness to work outdoors rain or shine

Position:  Human Resource and Event Logistic Intern

Breese Stevens Field is seeking a detail oriented people person for the position of Human Resource and Event Logistic intern. This individual will be central to creating a world class fan experience for all events held at Breese Stevens Field. The human resources intern will serve under the close supervision of the Director of Events and Marketing as well as the Director of Operations.


Responsibilities Include:
– Interviewing part time applicants

– Assist with the onboarding of new employees to the payroll system

Ensuring compliance with state and federal labor laws

Fielding and following up on questions by part time staff regarding clocking in and out, wages, schedules, dress code etc.

– Assist in documenting and reporting employee grievances

– Assist in documenting and reporting incident reports

– Responsible for staying within designated staffing budget for each event

– In time, be solely responsible for staffing and scheduling employees for events

– Responsible for payroll documentation

– Responsible for documenting and correcting missed clock in or out punches

– Responsible for checking in all employees for concerts and directing them to their location

– Develop positive relationships with fans, clients, and community members to help promote Breese Stevens Field

– Troubleshoot staffing needs within events
– Ensure the wellbeing of staff within events

– Responsible for getting all employees the information they need prior to the start of an event for them to perform their job correctly and on time (ex. Location of their position, who they report to, where they clock in, what the event is, what they should be wearing, etc.)

– Responsible for tracking, distributing and replenishing employee uniforms

– Responsible for ensuring all employees are properly dressed and in uniform when they arrive for their shift

– Set up, oversee, and close smaller scale events/camps/leagues independently

– Flexibility on event days with tasks and position

– Work with other interns and staff members to make sure the field is presentable, clean, tidy, and ready

– Share responsibility of answering the phone to answer fan questions and take messages

– Miscellaneous data reporting post event

Required Skills:
– Organization skills with the ability to think quickly

– Excellent communication skills

– Upbeat and fun personality

– Must be outgoing and not afraid of confrontation

– Willingness to work outdoors rain or shine

– Ability and desire to interact with over 300 part time staff members and 10,000 fans

– Flexible schedule

– Must have a high attention to detail

– Experience in scheduling and staffing is preferred but not a necessity

Breese Stevens Field and Forward Madison FC are seeking a full time Hospitality Intern. This Intern will oversee our high end clientele in game-day suites, in addition to being involved in various special events and concerts.

Responsibilities Include:
– Assist in getting the facility prepared for event season

– Set up and tear down of suites/VIP areas on match and event days

– Work in a chain of command and work closely under the direct management of Director of Operations and Director of Events and Marketing

Food running and setup with all appropriate table settings

– Managing part time staff

– Working with the client and sales rep of groups to ensure customer satisfaction

– Monitor lines and problem-solve related issues as they arise

– Set up, oversee, and close smaller scale events/camps/leagues independently

– Take an active role in planning and executing events at Breese Stevens Field under direct management of the Director of Events and Marketing

Required Skills:
– Creative mind set with the ability to on one’s feet quickly in fast paced environment

– Excellent communication skills

– Upbeat and fun personality

– Willingness to work outdoors rain or shine as well as in kitchen environment

– Flexible schedule/ability to work long hours on event days

– Must be able to lift 30+ pounds

– Food & Beverage experience preferred

Big Top Sports & Entertainment is the largest and most successful summer collegiate baseball ownership group in the nation attracting more than 600,000 fans in 2018. BTSE annually hires more than 50 interns for its Northwoods League franchises, the Madison Mallards, Kenosha Kingfish, and Wisconsin Rapids Rafters, as well as several more at Breese Stevens Field. Internships run from mid-May through the completion of the season, near the end of August. Every summer the interns work directly with the management staff. Interviews will start in November and will continue until all positions are filled. All Interns must receive college credit for this internship OR this internship must qualify for a graduation requirement. All Interns will receive a housing & travel stipend for this internship.
